You're standing in the print shop, 5,000 freshly printed flyers in front of you, and the printer is waiting with the invoice. This is exactly the moment when most people nod, pay and leave - only to discover an hour later that the colors are terrible, the paper isn't what they ordered, and there's a streak on every flyer. Sound familiar?
Quality control during pickup isn't paranoia - it's fundamental. And no, it's not about nitpicking with printers, it's about getting what you ordered. Because as practice shows, 90% of complaints can be caught on-site, before transport takes them 200 kilometers away.
Why quality control makes economic sense
Let's start with numbers. The average offset print complaint costs the print shop about 150% of the order value - they have to reprint, cover transport, sometimes pay contractual penalties. For you, this means their motivation to get everything right the first time is enormous.
But mistakes happen. Offset machines are complicated beasts with thousands of moving parts, ink is a mixture of chemistry and physics, and people are people. That's why serious print shops have control protocols at every stage - from plate preparation to packaging the finished product.
The problem is that even the best protocols sometimes fail. We've seen orders where everything looked perfect in control samples, but in the middle of the stack it turned out that one of the offset plates was damaged and a black streak ran through 2,000 copies. Without pickup inspection, this goes straight to the client.
Gold standard of control: Professional print shops offer the possibility of client presence during sample pickup - usually for an additional 50-100 PLN. Sounds like an unnecessary cost, but for orders above 5,000 copies it can save the entire run.
What to check first - colors and sharpness
The first glance will tell you the most. Take several copies from different places in the stack - top, middle, bottom, different sides of the pallet. Not all sheets print identically and differences can be significant.
Check colors in daylight or 5000K lamps - those yellow bulbs in the print shop can turn blue into green. If you ordered Pantone colors, the print shop should show you the swatch book they used. A difference up to 10% in saturation is normal in offset printing, but above that is grounds for discussion.
Check text sharpness with a magnifying glass - every serious print shop has a 10x magnifier at the control station. 8-point text must be readable without squinting, and 1-point lines cannot be jagged. If you see 'double outlines' around letters, it means one of the offset plates was poorly registered.
Don't compare print colors with what you see on the monitor - it's physically impossible for them to be identical. Monitors emit RGB light, prints reflect CMYK light. These are two different worlds of optics.
Checking gradients and solid colors
Gradients are the easiest place to notice machine problems. A smooth transition from dark to light should be fluid - without stripes, steps, or sudden tonal jumps. If you see a 'striped' gradient, it means one of the rollers had problems with ink feeding.
Solid colors should be uniform across the entire surface. Here the angled light technique comes in handy - hold the sheet at an angle and shine a lamp on it. Irregularities in ink coverage will be visible as lighter and darker spots. Be especially careful with large color areas - errors are most visible there.
Paper and format - technical aspects of pickup
Check paper not only visually but also by touch. 130g weight should 'feel' like 130g - if it seems thinner to you, it might be. We've seen cases where the print shop mixed up delivery and used 115g instead of 130g matte. A 15-gram difference doesn't sound like much, but you feel it immediately when touching.
Check format with a ruler, not by eye. An A5 flyer is 148×210 mm - not 147×209, not 149×211. Cutting tolerance is ±1 mm, so 147-149 × 209-211 mm is OK. Beyond this range you have grounds for complaint. And attention - measure several copies, because the guillotine can 'drift' while cutting the stack.
Also check if the cutting is straight, not diagonal. Place the sheet on a flat surface - all four corners should touch the table simultaneously. If one corner 'hangs in the air', it means the cutting was uneven.
Watch out for finishing effects: If you ordered UV varnish, lamination or hotstamping - check if it covers exactly the elements it was supposed to. A 2 mm shift in finishing can totally change the project's appearance.
Cutting and folding errors that cost the most
Catalogs and brochures have additional control points. Folding must be precise - pages must 'meet' evenly, without protruding fragments. The folded edge should be sharp, not rounded. If you ordered a glued spine, check if the glue doesn't extend beyond the edge - this can cause staining during use.
With scoring (creases) check if the score line is where it should be - 3 mm from the text edge minimum. A score placed too close can 'tear' the text when folding. And check if the scoring didn't crack - especially with thicker papers above 200g.
Print errors you might miss - but shouldn't
Some errors are sneaky - at first glance everything looks OK, but the devil is in the details. For example 'ghosting' - a weak impression of the same image shifted by a few millimeters. On text it might be almost invisible, but on logos or photos it gives a double image effect.
Another sneaky error is partial loss of elements. It happens that thin lines or small dots get lost during printing - the offset plate could have been damaged or poorly printed. The problem is that it may only affect part of the run. That's why you check copies from different parts of the stack.
Color shifts are an offset classic. CMYK means four separate passes through the machine and sometimes one color can be shifted by 1-2 mm. On photographs it might be hard to notice, but text or logos with colored outlines will have visible 'color shadows' around them.
If you notice an error, don't take the entire run 'on faith' - ask to review at least 50 copies from different parts of the stack. Offset errors rarely affect individual sheets.
Streaks, stains and mechanical defects
Streaks are the most common problem in offset printing. They can be caused by dirty rollers, damaged plates or ink feeding problems. Streaks parallel to the printing direction are usually rollers, cross streaks are usually the plate.
Stains are small ink dots in places where they shouldn't be. One or two dots per sheet is the norm for offset, but if there are more than 5 on A4 format, that's grounds for complaint. Be especially careful with white backgrounds - every stain is visible there.
Mechanical defects are scratches, creases, dents. They can occur during sheet transport through the machine or during cutting. A single creased copy is not a problem, but if you see systematic scratches in the same place, it means something in the machine isn't working.
How to report errors - practical approach
If you find an error, don't panic or start shouting immediately. Most print shops know their craft and know that errors happen. Calmly show what's wrong, preferably on specific copies.
Document errors with photos - during pickup and later, in better light. They'll be useful for discussions with the print shop and possibly for complaints. Take close-up photos (so the error is visible) and distant ones (so the entire sheet is visible).
Most offset errors have their tolerances. Color shift up to 1 mm, color differences up to 10%, individual stains - that's technical norm. But if the error affects usability (text can't be read, logo looks bad), you have full right to complain regardless of tolerances.

In disputed cases, you can call an external expert - it usually costs 200-500 PLN, but if the order was large, it's worth it. The expert will assess whether the error is within technical norms or not, and their opinion is binding for both parties.
Remember that print shops are also interested in solving the problem. An unsatisfied customer is bad reputation, and in the printing industry everyone knows everyone. Most problems can be solved amicably - partial reprinting, discount on future orders, additional free copies.
What not to complain about - normal offset tolerances
Not every imperfection is an error worth complaining about. Offset is a 150-year-old technology, modernized but still based on mechanics and chemistry. It has its limitations and everyone in the industry knows them.
Color differences between copies up to 5% are normal - ink can distribute differently on the sheet, pressure can change minimally. Especially with large runs (above 10,000) the first and last sheets can differ.
Individual dots or streaks on a sheet - up to 3 on A4 format - are also normal. Offset machines work at enormous speeds (15,000 sheets per hour) and completely eliminating random contamination is technically impossible.
Minimal color registration shift - up to 1 mm - also fits within tolerances. Four passes through different rollers, thermal expansion of materials, minimal mechanical deviations - all this contributes to the final effect.
When tolerances don't apply: If an error affects usability (text can't be read, logo is illegible, elements fall off), technical tolerances stop applying. Then the final effect counts, not the norms.
Professional vs budget print shops - differences in control
Not all print shops approach quality control the same way. Professional ones have protocols at every stage - from file control through machine setup to final inspection. Budget ones may rely mainly on the printer's experience and operator's 'eye'.
ISO certification in a print shop isn't just a paper on the wall - it's a system of procedures that ensures quality. ISO print shops have mandatory control points, documentation of every process and complaint procedures. This doesn't mean they don't make mistakes, but mistakes are rarer and fixed faster.
Spectrophotometers are tools for measuring colors - professional print shops have them on every machine. They allow precise measurement of whether color matches what was in the file. Print shops without spectrophotometers rely on the operator's eyesight - it can be good, it can be bad.
When choosing a print shop, it's worth asking about control procedures. Serious companies gladly show protocols and explain how they work. If they answer with generalities or dodge the question, that's a warning sign.
