I once received a file where the client had literally painted a white border around the graphic and labeled the layer “bleed.” Honestly, I get the reasoning - it seemed logical: if the machine cuts right at the edge, then there should be a safe margin near that edge, right? Unfortunately, that's not how it works, and the effect of that white border on the finished flyer is exactly the opposite of what was intended. Instead of safety, you get a white, crooked line where a solid background was supposed to be.
Why bleed is needed at all
Picture a stack of 500 sheets of paper, each printed with a flyer. That stack goes under a guillotine blade - a large, heavy machine that cuts all the sheets at once, in a single pass. It sounds precise, and it mostly is, but no machine in the world cuts with tenth-of-a-millimeter accuracy across five hundred sheets simultaneously. The paper shifts slightly within the stack, the blade itself has its own tolerance, and there's microscopic stretching of the paper caused by humidity and temperature in the production hall. In practice, this means the cutting line can shift anywhere from a fraction of a millimeter up to 1-2 mm in either direction compared to what you saw in your design.
Now the key question: what happens if your background ends exactly at the edge of the format, and the blade cuts 0.5 mm further than it should? The answer: a thin white line appears where the background ended but the paper hadn't yet. It looks awful, especially on a dark background, and there's no undoing it - the whole print run has to be redone. Bleed solves this problem in the simplest possible way: you make the background extend past the edge of the format, so even if the blade cuts imprecisely, it always cuts through an area where color is already present.
Net format vs. gross format - not the same thing, though often confused
Net format is the dimension of the finished product after trimming - what the client actually holds in their hands. Gross format is the dimension of the file you send to print, meaning net plus bleed on all sides. This distinction sounds trivial until you see how many designers send a file in exactly the net format, assuming “the print shop will add it somehow.” It won't. The bleed has to be physically present in the file, because you're the one who decides what goes into that extra strip of background, not us.
A real-life example: a standard A5 flyer has a net format of 148×210 mm. With the standard 3 mm bleed on each side, the file's gross format is 154×216 mm - that is, 3 mm added to each of the four edges. If you're making an A4 flyer (210×297 mm), the gross format is analogously 216×303 mm. The difference seems cosmetic, but it's exactly those extra 6 mm of width and 6 mm of height that determine whether, after cutting, you see a solid background or a white line along the edge.
Net format 148×210 mm (A5) + 3 mm bleed on each side = gross format 154×216 mm. The background and graphics must fill the entire gross area, not just the net area.
How much bleed do you really need - concrete values
The industry standard is 3 mm of bleed on each side, and that's enough for the vast majority of cases - flyers, posters, letterhead, business cards, invitations. Not 2 mm, because that's too little for larger stacks and less precise guillotines. Not 5 mm without a reason, because that's simply unnecessary data in the file and a bigger file to send. Three millimeters is a proven compromise between safety and practicality.
There are exceptions, though, and important ones. For glued or stitched catalogs, where tolerances accumulate after folding and trimming the spine (because it's not a single simple cut, but an entire binding process), a 5 mm bleed is used. Why more? Because the error compounds at every stage - folding the sheet, stitching or gluing the spine, and finally trimming the three edges of the block. For self-adhesive labels, on the other hand, where cutting happens on a high-precision rotary die-cutter, just 1.5 mm is enough - because the tolerances there are much smaller than with guillotine cutting on a stack of paper.

Safety margin - a completely different matter from bleed
This is where I see the most common confusion among clients. Bleed is the margin outside the net format - it applies to background and graphics that need to extend past the cutting edge. The safety margin works the opposite way: it's a zone inside the net format where no important text or elements should be placed, because that's precisely where the blade might reach if the cut doesn't go exactly as planned.
Standard practice is 3-5 mm from the net edge. If you place text right at the boundary of the format, and the machine cuts even a millimeter too close, the last letter of your name on a business card will disappear or get cut in half. I've seen business cards where “Johnson” became “Johnso” - because the text ended literally at the net edge, with no buffer at all. The client was furious, and rightly so, but the fault was in the file, not the print shop.
Without a safety margin: Text or a logo placed right at the net edge can get cut off with even the slightest blade shift. This is a mistake that only becomes visible on the finished product - when it's already too late to fix.
How it all looks together - visualization

And the inner, red dashed frame is the safety margin - the area where all text and important graphic elements should fit, with a buffer in case the cut isn't perfectly accurate.
What actually goes wrong when it's missing
Without bleed: a white line at the edge, sometimes only on one side, sometimes on all four, depending on how the stack happened to shift in the guillotine. It looks like a machine defect, but it's a file defect. Without a safety margin: cut-off text, a cut-off logo, sometimes an entire phone number that ended exactly at the edge. Both mistakes share one thing in common - you can't see them on screen as long as the file is shown in net format without bleed visualization. You only see them on the finished print, when it's already too late.
The myth of the white border as bleed
This mistake keeps coming back, so it's worth addressing directly. Some designers - especially those learning from social media tutorials, where nobody explains print production - draw a white border around the graphic and call it bleed, thinking it's some kind of safety margin against machine errors. The effect is the opposite of what's intended: that white border becomes part of the net format, and after cutting, what's left at the edge of the product is... a white border. Exactly what nobody wanted. Bleed is a continuation of the background and graphics beyond the edge, not a separate graphic element in a different color from the rest of the design.
Quick test: If the bleed in your file looks different from the rest of the background - a different color, a white border, a cut-off element with no continuation - it's not proper bleed. Bleed should be visually unnoticeable, because it's simply an extension of what's already at the edge of the format.
How to set up bleed in practice - program by program
Adobe InDesign
When creating a new document, expand the “Bleed and Slug” section and enter 3 mm in the Bleed field for all four sides at once (the chain-link icon must be active so the value applies automatically to all sides). If the document already exists, go to File → Document Setup and change the value there. When exporting to PDF, in the Export Adobe PDF window, under the Marks and Bleeds tab, be sure to check “Use Document Bleed Settings” - otherwise InDesign will export just the net format, ignoring the bleed you so carefully set up.
Adobe Illustrator
As in InDesign, you set the bleed when creating the document, in the Bleed field. If the document already exists, change it under File → Document Setup. The difference from InDesign: in Illustrator you have to manually make sure the background elements actually reach the bleed line, visible as a red dashed line on the artboard - the program won't move them for you.
CorelDRAW
Corel doesn't have as intuitive a “bleed” field as Adobe products do. The most reliable method is to manually enlarge the page by the bleed value on each side (for example, for A5 148×210 mm, you set the page to 154×216 mm) and design with full awareness of where the net format ends and the gross format begins - ideally with guides set exactly at the net format boundary. When exporting to PDF, remember to export the entire page area, not just a selection.
Canva
Canva Pro lets you enable the “Show print bleed” option in the page settings before exporting to PDF - a red line will then appear showing the bleed zone, which you need to fill with background manually by dragging elements past that line. The free version of Canva doesn't have this option at all, which can be a real problem - files from the free version of Canva very often arrive at our end with no bleed whatsoever, simply because the author had no way to add it.
Watch out for files from Canva:
If you're designing in the free version of Canva and planning to print, consider adding the buffer manually - enlarge the page's working area by 3 mm on each side before you even start the design, and only then export accounting for that larger format.
A quick note on safety margin in the same programs
The rule is identical regardless of the program: set yourself a guide 3-5 mm inward from the net format edge, and treat it as the boundary beyond which no text or logo should go. In InDesign and Illustrator you can do this via Layout → Create Guides, or simply by dragging guides from the ruler. In Corel and Canva - do it manually, ruler in hand, literally counting millimeters from the edge.
When deviations make sense
There are situations where the standard 3 mm isn't enough. Large formats, like B1 posters or banners, sometimes require a bigger bleed, because the scale of cutting error grows proportionally with the size of the sheet. For unusual shapes cut on a die-cutter (for example, a business card with rounded corners or a heart-shaped hang tag), the bleed tends to be larger than standard, because die-cutter tolerance is often different from guillotine tolerance. If in doubt - ask the print shop directly before sending the file. It's one email that can save an entire print run.

Bleed and safety margin are among those things in print production that sound like minor details until you see the effect of skipping them on your own print run. Three millimeters on each side of the format can save you a complaint, downtime, and the cost of reprinting - a genuinely small price to pay for the certainty that the finished product will look exactly as you planned it on screen.
