We once had a client who brought in a company logo as a .docx file. Not joking. We opened the document, and there was the logo sitting in a Word table, pasted from an email three years old, at a resolution I will diplomatically call “internet quality.” The client wanted it on a 3×2 meter banner. We told him straight up that it would not work - or at least not in a way that would not be embarrassing to hang at a trade show.
This is not an isolated case. Canva and Word are great tools for quick graphics for Facebook, posters for a school assembly, or a presentation for the board. The problem starts when that same logo has to end up on a business card, a mug, a banner, or packaging - because that is when it turns out that a tool made for screens and a process made for print are two different worlds that simply do not speak to each other.
Vector versus pixels - the heart of the whole problem
A logo made in Canva or Word is almost always a raster file - that is, a grid of pixels, like a photograph. It has a finite number of points and a finite resolution. If the logo is 300×150 pixels (a typical size exported from Canva for an Instagram post), it will look fine on a screen of that size. Enlarge it for a business card and it will probably be okay, because a business card is small. Enlarge it for an 85×200 cm roll-up banner and you get something that looks like it is being viewed through a fogged-up window.
A designer working for print draws the logo in vector format - in Illustrator or CorelDRAW. A vector is not a grid of pixels but a mathematical record: curves, control points, fills. You can enlarge such a file to billboard size and the edges of the letters will stay just as sharp as on a business card. Because a vector does not have resolution in the way a raster does - it simply recalculates itself every time it is scaled.
A quick test to check if your logo is vector-based: Open the file and zoom in to 800% in your software. If the edges start to get jagged and blurry - it is raster. If they stay perfectly smooth - it is vector. Files like .ai, .eps, .svg, and vector .pdf are safe. .png, .jpg, and .docx practically never are.
RGB on screen, CMYK on paper - why your brand color suddenly looks different
A screen emits light. Paper reflects light coming from outside. That sounds like high school physics, because it is exactly that, and it has a direct effect on how your logo looks once printed.
Canva and Word work in RGB by default - red, green, blue, a color model that mixes light. Offset printing uses CMYK - cyan, magenta, yellow, black - inks that combine on paper by absorbing light. These two models have different color ranges, known as gamuts. RGB can display extremely intense, glowing blues and greens that are physically impossible to achieve with printing ink. When an RGB file gets converted to CMYK, the software has to “guess” the closest equivalent - and the result is often a grayish, muddied cousin of the original color.
A classic example: an intense brand blue that looks neon in RGB turns purplish or grayish-blue after CMYK conversion. The client looks at the printout and says, “that is not my color.” They are right - but the fault lies not with the print shop, but with a file prepared without realizing that screen colors and print colors are different languages.
A print designer sets the logo up in CMYK from the start, or even better, defines the brand color as a Pantone spot color - printed with a dedicated ink, identical every time regardless of the machine. That is the difference between “probably a similar blue” and “the exact same blue as the print run from two years ago.”
Transparency that suddenly disappears
A logo saved as a PNG with a transparent background looks perfect in Canva - you place it over a colored background and everything works. But that transparency is often a trap. A PNG exported from Canva tends to be at screen resolution (72 dpi), while offset printing requires a minimum of 300 dpi at the final output size. If the logo needs to be 5 cm wide on a business card, the file needs enough pixels to fill those 5 cm properly - otherwise the print shop ends up with something that simply blurs out once scaled up to 300 dpi, because the pixels are physically not there.
On top of that there is a problem we have seen literally dozens of times: a logo sent as a JPG instead of a PNG, so the transparent background turns white. On a white business card nobody notices. On colored packaging or a dark T-shirt, a white rectangle suddenly appears around the logo that nobody planned for. A professional designer will always deliver the logo as a vector with no background, ready to be placed on any colored surface - because they know the client will sooner or later want to use it somewhere other than just letterhead.
A PDF from Word and a print-ready PDF are not the same PDF
This is probably the most confusing thing for clients without printing experience: a PDF looks like a PDF, right? It opens, the logo is there, everything is in place. The problem is that a PDF exported from Word or Canva is optimized for on-screen viewing and previews - not for a printing press.
The standard in the printing industry is PDF/X-1a or PDF/X-4 - PDF versions with specific requirements: colors embedded as CMYK or Pantone, fonts converted to outlines (so the print shop does not have to guess which font is missing), bleed extended past the trim edge, no transparency that different programs might interpret differently. A PDF from Word has none of that. It opens fine on your own computer because your machine has the same font installed and does not need to convert anything. On the press at the print shop, the font gets swapped for a default one, colors shift, and if the logo touches the edge of the page, a thin white line is left after trimming because nobody accounted for bleed.
A white border is not bleed: Sometimes a client tries to “play it safe” by adding a white border around the logo, thinking it serves as bleed. The effect is the opposite of what was intended - after trimming, the machine can still shift a millimeter to the side, and instead of a clean edge you get an uneven white strip on one side. Bleed is the continuation of the background or artwork past the trim line, not a separate white margin.
Scaling a logo - why proportions matter too
In Word, all you need to do is grab the corner of an image and drag it to make the logo bigger or smaller. The problem starts when someone grabs a side handle instead of a corner - and the logo suddenly gets stretched horizontally by 20%. The letters get thicker, the graphic mark loses its proportions, and the whole thing looks subtly “off,” even if the client cannot pinpoint why.
A designer working with a brand style guide (or even a minimal brand brief) knows that a logo has defined minimum proportions and a clear space - the distance from other elements below which the mark stops being legible. Without that knowledge, it is easy to end up with a logo on a business card squeezed so tightly between the contact details that it loses its character.
What exactly you gain by having a designer handle your logo for print
First and foremost, a source file in vector format - .ai or .eps - that can be enlarged for a banner, shrunk for a stamp, and used for everything in between without losing quality. On top of that, color variants: full CMYK color for offset printing, a Pantone version if the company has a defined spot color, a black-and-white version for documents, a grayscale version, and a version for printing on dark backgrounds. A good designer prepares this once, and you use those files for years, instead of trying to squeeze something usable out of a PNG in Canva every single time.
There is also something that often goes unappreciated: a print designer knows how a logo will behave physically on a specific material. Thin lines in a logo that look great on screen can disappear when printed on textured paper, or during hot stamping, where foil will not hold on an element thinner than half a millimeter. That is knowledge no YouTube tutorial about Canva will give you, because Canva knows nothing about how ink behaves on 300 gsm coated paper.
A real-life example: a business card that looked different than on screen
A client prepared a logo in Canva, exported it as a PNG, pasted it into an online business card template, and ordered printing. On screen it looked great - a rich navy blue, sharp letters. After printing, the navy came out grayish, and the letter edges showed visible jagged artifacts, because the logo had been scaled up from a 400×200 pixel file to a business card at a target resolution of 300 dpi. The fix took the designer an hour and a half: redrawing the logo in vector, finding the closest Pantone match for the navy, and preparing the files in CMYK. That work paid for itself on the very first print run - because there was no need to redo a second one due to a complaint.
Canva and Word are good at what they were built for - quick graphics for the screen. For offset printing, where vector, CMYK, bleed, and PDF/X matter, you need a file built from the ground up to meet those requirements. This is not a matter of a designer's taste, but of print physics and file mathematics.
When it is really worth investing in a designer
If the logo is only going to appear once, on a single document that will end up in the trash within a week, it is probably not worth overpaying. But if the logo is going to represent the company on business cards, letterhead, banners, packaging, fleet vehicles, and a website for the next several years, a one-time investment in a proper vector file pays for itself by the second or third order. You do not need to pay for an entire brand book with fifty pages of guidelines - sometimes it is enough to have a designer vectorize the existing logo and prepare the basic color variants. That usually costs a few hundred zloty, and it saves you from further complaints, revisions, and reprinted runs.
Check before you send your logo to print
- Is the file in vector format (.ai, .eps, vector .pdf), not .png or .jpg?
- Are the colors defined in CMYK or Pantone, not just RGB?
- Does the logo have a transparent background instead of a white rectangle?
- Do you have separate versions: full color, black-and-white, for dark backgrounds?
- Is the PDF in PDF/X-1a or PDF/X-4 standard, not exported directly from Word?
- Have the logo's proportions accidentally been stretched during scaling?
