Someone once told me that carbonless paper is a relic of the 1990s. That same person called two weeks later asking whether we could make him service order pads in three copies, because his field mechanics have no time to fiddle with a tablet and an app for every job. And that is what it looks like in practice - digitization keeps moving forward, but there are places where a sheet of paper and a pen still beat any system.
Car repair shops, transport companies, construction sites, warehouses, notaries, fire departments filling out reports - carbonless paper holds its ground firmly in all of these. Not because someone cannot operate a computer. Because in certain conditions a physical document with a signature and a ready copy for the customer on the spot is simply faster and more reliable than any digital system.
What actually happens underneath - chemistry instead of carbon
Carbonless paper, often called NCR in the industry (No Carbon Required), works on the principle of microcapsules of dye placed on the underside of the top sheet and on the top side of the sheet beneath it. When you write with a pen or print with a dot-matrix printer, the pressure of the tip bursts these microscopic capsules, the dye reacts with the coating on the next sheet, and an imprint is created. No carbon paper between the sheets, no black smudging on your hands like in the 1980s.
The paper comes in three roles within a set. CB is the top sheet, coated only on the back (Coated Back). CFB is the middle sheet, coated on both sides (Coated Front and Back) - the more copies, the more CFB layers in the middle. CF is the last sheet in the set, coated only on the front (Coated Front), since there is nothing beneath it left to copy onto. Standard sets are made in two-, three- and four-copy versions, although the physical limit is the legibility of the imprint on the last sheet - beyond a certain number of layers, the pressure of a pen no longer produces a clear impression.
Copy colors are not a coincidence: A typical layout is a white original, a yellow or pink copy for the customer, a green one for the warehouse, and a blue one for the archive. The color scheme is not a technical requirement, but in companies with an established document workflow it quickly becomes part of the procedure - an employee knows at a glance which sheet goes where.
Where it really makes sense
The orders we receive most often are for service order pads, work acceptance reports, warehouse receipt slips, cash receipt and cash payment vouchers, sales orders written up in the field by representatives, and various internal forms where one person fills in the document and another immediately receives their own copy without needing to photocopy or scan it. In fieldwork - on a construction site, in a repair shop, in a warehouse during unloading - carbonless paper simply wins because it works without power, without internet, and without the risk of an app freezing at the worst possible moment.
There is one more argument rarely stated outright: proof. A physical document with a pen imprint and both parties signatures is, in some industries, still stronger evidence than an electronically signed PDF, especially if the other party does not have a trusted qualified signature. A driver signing a damage report during unloading, and a forwarder left holding a copy - that is not a situation in which anyone reaches for a tablet.
Numbering - a small addition that changes everything in document control
Numbered printing is a separate topic, though it often goes hand in hand with carbonless paper. It means giving each copy a unique, sequential number - directly during the printing process, rather than by hand with a pen, which for larger quantities is both slow and prone to errors or fraud.
Numbering makes sense wherever you need to know whether a given copy has gone missing, been forged, or used twice. Entry tickets, discount coupons, strictly accounted-for forms, paper invoices in companies that have not yet fully switched to e-invoicing, complaint forms, warranty cards - in each of these cases, a sequential number allows a copy to be unambiguously linked to a specific transaction or event.
Technically, numbering is usually applied in a separate process after the actual form has been printed - a numbering machine stamps consecutive digits onto sheets or pads that have already been printed and cut. You can set the numbering starting point, the increment (whether numbers rise by 1, or for example by 2 for double-sided forms), the number of digits with leading zeros, and the position on the page. For carbonless forms, the number additionally has to punch through all the layers of the set so that the original and the copies carry the same number - this is exactly where the two topics of this article meet.
Numbering and carbonless paper - one trap: If the number is meant to punch through the entire set, it has to be stamped mechanically, with the right amount of pressure, onto a pad that has already been glued together. Numbering individual sheets separately and then gluing them into pads afterward results in the numbers on the original and the copies not matching up. This is one of those details that must be settled at the ordering stage, not after the fact.
What this looks like from the file side
A form for carbonless printing is prepared in exactly the same way as any other offset or digital print job - as a PDF file, ideally in the PDF/X-1a standard or a correctly prepared composite PDF, in CMYK color space. The resolution of images and logos should be 300 dpi at 1:1 scale - for a form with fine print and thin table lines, this actually matters, because a blurry grid line looks poor even on ordinary office paper, let alone on carbonless paper, where some sharpness is already lost when the imprint punches through the layers.
One thing does differ from standard printing, though: whatever needs to punch through onto subsequent copies must be designed with the legibility of the imprint in mind, not just the original. Thin table lines, small text, subtle background grays - all of this looks great on the first sheet, but may be barely visible on the third copy in the set, because a chemical imprint is never as sharp as printing itself. That is why grid lines in carbonless forms are usually designed thicker than in a standard document, and fields meant to be filled in by pen are given clearly defined outlines.
Space for the numbering needs to be planned deliberately - usually in the corner of the form, with a safety margin from the cutting edge. The safety margin measured from the cut line is standardly a minimum of 3 mm, and for multi-page forms or glued pads it is better to leave extra allowance, since a number stamped too close to the edge can easily get trimmed off if the pad is assembled imprecisely.
The most common mistakes we have seen
A customer wants four copies in an intense color with full-bleed background on every page. The problem is that the more ink or background coverage there is on carbonless paper, the harder it is to get a legible imprint on the following layers - a saturated background does not interfere with printing the first sheet, but it obscures the handwriting on the copies. Carbonless forms work best with a simple, restrained design: a logo, a header, table lines, minimal graphics.
The second issue is forgetting about numbering at the design stage and only remembering it right before placing the order. Space for the number has to be planned from the start - otherwise you end up squeezing the digits in wherever there happens to be free space, which often means the middle of a table or right next to the logo.
The third is the order of the sheets within the set. Customers sometimes assume that copy color is purely an aesthetic matter, and then it turns out the warehouse has been receiving a green sheet for years and suddenly is supposed to get a blue one, just because that is how the new order happened to turn out. It is worth settling on a fixed color layout once and sticking to it across all future reprints - it makes life easier for the people who work with these documents every day.
Paper, gluing, and pad format
We most often supply carbonless forms as pads glued at the top or on the side, with a cardboard backing, or as loose sets for filing in a binder or feeding into the customer own numbering machine. The choice depends on how the form will be used - a glued pad works well in the field, since it does not fall apart in a toolbox or a car glovebox, while loose sheets make sense where the document goes straight into a binder or archive.
For large print runs, the choice of printing technology - digital or offset - depends on the same set of factors as with any other order: format, volume, number of versions, and whether the specification is stable over time or the form will keep changing. The advantage of offset grows with print run size and repeatability of the order, but for shorter runs or forms with frequent content changes, digital printing tends to be simply more convenient, since it does not require preparing new plates from scratch with every correction.

A few words on when it is not worth it
Let us be honest - if a company today issues exclusively electronic invoices and has a fully digital document workflow, carbonless paper is an unnecessary cost and an extra paper trail that nobody archives. It makes sense where the process physically happens outside the office - in the field, on a construction site, during goods receipt, or in contact with a customer who expects a paper confirmation on the spot anyway. Before ordering pads, it is worth asking yourself whether someone will actually physically keep that second and third copy, or whether it will end up in a drawer that nobody ever opens again.
