Why product catalogs still make sense in 2025
We live in a world where everything is online, so it might seem that printed catalogs are a relic of the past. However, the data says otherwise. Companies that use catalogs in combination with digital marketing achieve 49% higher sales results than those that rely solely on digital.
A product catalog has one great advantage over a website - physicality. A customer can hold it in their hands, browse through it at leisure, fold the corner of a page with an interesting product. The average lifespan of catalogs is 2.5 months - compare that to time spent on a website, which is measured in seconds.
But for a catalog to actually sell, it's not enough to collect product photos and send them to a print shop. It's a marketing tool that requires a strategic approach - from concept, through design, to choosing the right printing parameters.
What format to choose for a product catalog
In 90% of cases, the best choice will be A4 format (210×297 mm). Why? First, it's universal - everyone knows how to hold it and where to store it. Second, it provides enough space to present products without compromising readability. Third, it's economical in offset printing.
Square format (e.g. 210×210 mm) can look very attractive, but it has one drawback - it's more expensive to produce. With a square, theoretically fewer copies fit on a B1 sheet, which means higher unit cost. However, if budget allows and you want to stand out, square can be a bullseye.
Check before ordering: If you're planning a catalog in a format other than A4, ask the print shop for cost calculation. Sometimes the difference is minimal, sometimes it can surprise. It all depends on how the given format fits on the printing sheet.
A5 format (148×210 mm) is an option for companies with limited budget or when the catalog is to serve as an addition to main marketing materials. Smaller format means lower printing costs, but also presentation limitations - on an A5 page you'll fit maximum 2-3 products with sensible photos.
How many pages should a product catalog have
There's no single good answer here, but there are certain rules worth knowing. First, catalogs are printed in sheets - each sheet is 4 pages (2 on each side, folded in half). Therefore, the number of catalog pages must always be divisible by 4: 8, 12, 16, 20, 24, 28, 32 pages etc.
For small companies with 20-50 products, a 16-24 page catalog will be optimal. This is enough to present the offer without diluting the content. For larger companies, 32-48 pages may be needed. Above 48 pages, the catalog becomes heavy and expensive, so consider whether all products really need to be in one edition.
Remember: pages are counted including covers. A 16-page catalog is 14 internal pages + front and back cover.
There's also an important technical limit - at 32 pages and more you need perfect binding. Up to 28 pages can be saddle-stitched, which is cheaper. More about this in the binding section.
Choosing paper for catalog - what really matters
This is where it gets tricky, because everyone has an opinion but there are few facts. Let's start with what really affects how customers perceive the catalog.
130-150g weight for catalog interior is the golden mean. The paper is stiff enough that it doesn't show through and feels pleasant in hand, but at the same time the catalog doesn't become a brick. At 200 pages with 300g paper, the catalog will weigh over a kilogram - do you really want that?
Coating matters more than weight. Coated glossy paper gives the best color reproduction and makes product photos look impressive. Matte paper is more elegant but colors may seem somewhat muted. Offset paper (uncoated) is an economical option, but photos lose sharpness.
Paper whiteness trap: Don't be fooled by terms like "snow white" or "arctic white". In practice, the difference between standard coated paper and "premium" is minimal, but the price difference can be significant.
The cover should be made of thicker paper - 250-300g is standard. It can be the same type as the interior, but it can also be different. A popular solution is matte cover + glossy interior. This gives an elegant effect and good functionality.
Catalog binding - saddle-stitching or perfect binding
Up to 28 pages you can choose saddle-stitching with staples on the spine. It's a cheaper option and perfectly sufficient for most product catalogs. The catalog opens flat, is easy to flip through and store in a folder.
At 32 pages and more you need perfect binding. The catalog then gets a spine where you can place the title and company logo. This is important when catalogs are to stand on a shelf at the client's - thanks to the description on the spine they're easier to find.
Perfect binding has one drawback - the catalog doesn't open completely flat. When designing, you must take this into account and not place important elements in the middle of the spread, because they'll disappear in the gutter.
Professional tip: If you've decided on perfect binding, ask the print shop for a gutter sample. You'll then see how much space the binding "eats up" and you'll be able to prepare the design accordingly.
Most common mistakes when designing catalogs
The first and most serious mistake is lack of print bleeds. If you're designing an A4 catalog, remember that the working format is not 210×297 mm, but 216×303 mm (plus 3 mm bleed on each side). All backgrounds and photos that should reach the edge must be extended to these additional millimeters.
The second mistake is ignoring the safety margin. Printing machines don't cut perfectly - there can be a ±1-2 mm error. Therefore, important text and logos must be at least 5 mm from the edge. If you place a phone number 2 mm from the edge, it may be partially cut off.
The third mistake is poor preparation of product photos. 300 DPI resolution is the minimum, but DPI alone is not enough. The photo must have the appropriate size in pixels. If a product photo is to occupy 10×10 cm in the catalog, you need a photo with minimum 1200×1200 pixels.
Photo enlargement myth: You cannot "improve quality" of a photo by enlarging it in Photoshop. AI can help a bit, but you can't fool physics. Better to take a new photo than struggle with pixelation.
The fourth mistake is using RGB instead of CMYK. Colors on screen always look different than in print. If you want to control the final effect, the entire design must be in CMYK color space from start to finish.
How much does catalog printing cost - real calculation
The cost of catalog printing depends on five main factors: print run, number of pages, paper type, binding and finishing. To avoid speaking in abstractions, let's take a concrete example.
A4 catalog, 24 pages, coated glossy paper 130g, 250g cover, saddle-stitched binding, 1000 copies print run. At a good offset print shop you'll pay about 3500-4500 PLN gross for this. This gives a unit cost of 3.50-4.50 PLN per copy.
With a 500 copies print run, the unit cost will rise to about 5-6 PLN per piece. With a 2000 copies print run, it will drop to about 2.50-3 PLN per piece. This is offset mathematics - the larger the print run, the lower the unit cost.
Remember: these prices don't include graphic design costs. Professional catalog design is an additional cost of 2000-8000 PLN depending on complexity.
If you only need 100-200 copies, digital printing may be cheaper. But offset quality is noticeably better - colors are more saturated, paper more pleasant to touch, and the entire production looks more professional.
Finishing that makes sense in catalogs
UV varnish on the cover is a classic of the genre. Spot UV varnish on logo and selected graphic elements makes the catalog look more expensive and professional. The cost is about 200-400 PLN for 1000 copies print run - a small investment with great visual effect.
Cover lamination with matte film is an alternative to UV varnish. It gives an elegant, velvety effect and additionally protects the cover from dirt. It's slightly more expensive than varnish, but the effect may be worth the difference.
Hot-stamping (embossing with gold or silver foil) works mainly in catalogs of luxury products. In other cases, it may look excessive and raise costs without business justification.
Test before production: If you're planning finishing, ask the print shop for a sample on similar paper. What looks good on screen may disappoint in print.
How to prepare a file for catalog printing
A catalog is a multi-page document, so the best tool will be Adobe InDesign. Photoshop is suitable for photo editing, but not for laying out an entire catalog. Illustrator will work for individual pages, but with 24 pages it becomes unwieldy.
Set up the document immediately in working format (with bleeds). For an A4 catalog this will be 216×303 mm. Set the safety margin at 5 mm from the net edge (not from the bleed!). Extend all backgrounds and photos that should reach the edge to the bleed limits.
Color profiles are the foundation of good printing. Set a CMYK profile for your region - in Europe this is usually ISO Coated v2 (ECI). Convert all photos from RGB to CMYK using the same profile before placing them in the document.
Checklist before sending file
- Document in CMYK with proper color profile
- 3 mm bleeds on each side added and filled
- 5 mm safety margin maintained
- All photos in minimum 300 DPI resolution
- All fonts converted to outlines or included
- Export to PDF/X-1a or PDF/X-3 (not regular PDF!)
Before sending the file, do a test print on an office printer. It's not about checking colors (they'll be different), but checking composition, text readability and overall layout. Errors are easier to spot on paper than on screen.
Catalog as a sales tool - what must be in it
A product catalog is not a photo album - it's a sales tool. Every element must have its business justification. We start with the cover, which should convey in 3 seconds who you are and what you offer.
Contact details must be on every spread - if a customer tears out a card with a product they're interested in, they still need to know how to contact you. This isn't excessive, it's practical.
Every product needs three pieces of information: photo, name and contact/ordering method. Price is optional - if you change it frequently, better to refer to the website or price list that's easier to update.
QR codes are a bridge between physical catalog and digital world. A QR code placed on the cover can redirect to the main page, special offer or contact form. It's a simple tool that significantly increases the measurability of catalog effects.
QR codes that work: A QR code must be minimum 2×2 cm to be readable on phones. Test it on different devices before printing. Link to a dedicated page, not the main page - then you'll measure the catalog's effectiveness.
How long does catalog printing take
A realistic catalog production schedule is 10-14 working days from project approval and payment to delivery of finished copies. This may seem long compared to flyer printing, but a catalog is a more complex product.
The first phase is prepress preparation - 1-2 days for file checking, possible corrections and printing plate preparation. Then the actual printing - 2-3 days depending on print run and print shop workload.
The last phase is bindery - folding, binding, trimming and packing. Time here depends on binding type: saddle-stitching is 1 day, perfect binding is 2-3 days (glue must dry before the spine can be trimmed).
If you need a catalog "yesterday", some print shops offer express mode for 30-50% surcharge. But remember - haste is quality's enemy. Better to plan production in advance.
